Annual Meeting of the Providence Hill Homeowner’s Association

The Annual Meeting of the Providence Hill Homeowners’ Association will be held on Tuesday, May 27th, 7:00pm EDT. There are a few changes to the format for this year’s public meeting and elections:

  • The public meeting will be hosted by CAMCO on the Zoom (https://www.zoom.com/) virtual meeting platform online.

  • This year the board elections will be held by electronic voting on the ElectionBuddy platform (https://electionbuddy.com/).

  • In the event that there are multiple candidates for the three open board positions there will be a “Meet the Candidates” meeting on Tuesday, May 20th, 7:00pm EDT. This meeting would also be held on the Zoom platform.

The board has decided to have this year’s meeting on Zoom due to the significance of a number of items on the agenda. We would like to make sure that as many homeowners as possible can attend, be informed about these items, and have the opportunity to provide feedback, ask questions, and voice any concerns. By having the public meeting on Zoom homeowners will be able to attend via their smartphones, tablets, or computers even if they are traveling.

AGENDA

The agenda for the annual meeting will include:

  • Elections for three (3) positions on the HOA Board of Directors.

  • Construction update on the canopies for the townhome mailboxes

  • Results of engineering study of the townhome roofs provided by Becht Engineering (https://www.bechtbt.com/)

  • Launch of community website: https://www.providencehillhoa.org/

  • Providence Hill Tree and Woodland Management plan prepared by consulting arborist firm Rockwell Associates: https://rockwellurbanforestry.com/

ELECTIONS

The terms for three of the Board of Directors will be expiring this year.

Of the two (2) Board seats available for this election, one seat is to be represented by a Townhome Owner and will be a two-year term. The other seats are considered “At-Large” and may be represented by either Single Home or Townhome owner and will also be a two-year term. The Board currently consists of the following individuals:

  • Charles Outhier – President (At Large – term expiring 2026)

  • Janet Daily – Secretary (Townhome – term expiring 2026)

  • Merrick BergAsst. Secretary (At Large – term expiring)

  • Vince Lyons – Treasurer (At Large – term expiring)

  • Kelly RobinsonLandscaping Management (Townhome – term expiring)

Board Members serve as volunteers without compensation. Eligible Candidates must be Unit Owners of Record and in good financial standing. The three (3) incumbents whose terms are expiring have indicated they will run again.

Homeowner’s interested in running for one of the open board positions need to return the Candidate Form to CAMCO by Friday, May 9th at 5pm EDT. Completed Candidate Forms should be emailed to CAMCO ATTN: Kevin Burkett, [email protected]. If you are interested in running for a board position and did not receive a Candidate Form these can also be obtained by emailing Kevin prior to the deadline.

Nominations will also be taken from the floor at the meeting for anyone else interested in running for the Board. Those parties nominated from the floor must be present at the meeting to be considered.

Details regarding the electronic voting process will be forthcoming in a notification announcing the candidates during the week of May 12th, 2025.
